The Clients tab provides tools to help you record,target & action the client files you're looking for.
You'll manage your list of customers in the Clients tab. Your customer base will grow as you add new clients, import contacts and/or as participants visit your online Amilia Store. Accessing a specific client's file is as easy as clicking on their name. We've included some nifty ways of sorting through your contacts so you can quickly find who you're interested in!
SEARCHING ACCOUNTS & PEOPLE
If you click on Clients>Accounts, your screen will look something like this:
Accounts means you're viewing the list of Account Owners. Account Owners are meant to be responsible for logging into Amilia and registering themselves and/or their account Members .
If you click on Clients>People, you'll notice more records appear. The columns are different as well:
People means you're viewing the list of ALL your clients, regardless of whether they are Account Owners or account Members.
If you search for any name in the Accounts sub-tab, it will pull up the Account owner record.
Ex: Searching for 'Carol Swailes' pulled up the Account Owner 'Samantha Postlethwaite'. Sam has 15 account Members. If I click on the , it will show the names of all the members in that account. Carol is a Member of Samantha's account.
If you search for any name in the People sub-tab, matching individual names of account owners and/or account member records will populate.
In the Accounts and People sub-tabs, most columns can be used to sort the contents of the page. Simply click on a header (like Account owner name or Balance) to sort your clients using that criteria. Click twice on the header to reverse the order.
The Accounts and People sub-tabs provide different search filters, depending on the context in which you want to view or export your files.
The Accounts tab filters mainly focus on financial transactions, since this sub-tab can be used to manage the financial aspects of client accounts.
Easily view archived clients, clients with balances owing or who registered during a specific date range or on a given day. You can even generate a donor list.
The People tab filters enable administrators to manage the groups of participants displayed on screen.
Use the Date of birth filter to identify all participants who are having a birthday this month!
The Zip/Postal Code filter will help you with location-based participant lists.
The Activities filter is very useful to identify participants registered to a specific activity and to communicate with a handful (or a single one) of them.
OPERATIONS- EXPORT YOUR LISTS & MORE!
To export to Excel, send email(s) or create Account Statements etc. for the list of clients you've generated, click on the OPERATIONS button. The list of commands differ depending on whether you're in the Accounts or People sub-tab. Click here for definitions of commands in Clients>Operations.
HOW DO I DELETE A PARTICIPANT FROM MY CLIENTS TAB?
In the Clients tab, you'll notice a garbage can icon to the right of the participant's record.
This icon is also in the client's file under the Account Members tab.
If a participant has no record of being associated to a purchase within your club, then you will be able to delete the record.
If there is purchase information associated to the client, then you will have the option to archive them.
Whether you delete or archive a client, their record will not be visible when you search in the Clients tab. However, you have the option to search archived accounts by adding a filter to include archived records.
Archived accounts can be reactivated by clicking on the icon.
Deleted accounts cannot be retrieved unless the client revisits your Store or you create a new record.
