Creating a Drop-in Activity

Instead of registering for a full session, clients can choose specific days to participate in an activity.

If your organization offers clients the ability to register to individual classes rather than a full session, be sure to enable the Drop-ins module via the Account>Options subtab.

Once your program is created, you may configure session-based activities that also allow for participants to 'drop-in' on specific days of their choosing or you can create drop-in activities only.

How it Works

1. Configure a Drop-in

2. Registering to a Drop-In

3. Canceling a Drop-in

1. Configure a Drop-in

If your program offers drop-in classes only, ensure the program's default activity view is toggled to a Calendar option (via the Activities>Programs subtab).

Via the Activities>Edit subtab:

  • Create your activity as usual.
  • Under the Schedule & Resources section, add your schedule and Save.
  • Click on Drop-ins and enable purchasing the activity as a drop-in.
  • Price: Specify the cost of registering to a single class. By default, a MultiPass can also be used to enroll (make sure your MultiPass has the drop-in class selected). Restricting enrollment to MultiPass Only means only clients using an eligible MultiPass can reserve a drop-in spot.
  • Spots available: How many people can register to the drop-in?
  • Registration start/end: How soon or how late can a client register to a class before it takes place?
  • Unregistration end: Are clients that used a MultiPass able to cancel? If so, how late can they cancel a class before it takes place? NOTE: Only clients that purchase the drop-in using a MultiPass have the ability to cancel the class (not including admins).
  • Hit Save at the bottom when you are finished configuring your activity.

NOTE: If you are using drop-ins to manually schedule your private lessons, why not automate the process with our Private Lessons feature?

Activities that offer both Session and Drop-in options

If an activity offers both session and drop-in options to participants, ensure the program's default activity view is toggled to Session (via the Activities>Programs subtab).

Back to your activity configuration:

  • Click on Session.
  • Price of activity: Set the price for the entire session.  When registering to a session, clients are enrolled in every occurrence in the activity's schedule.
  • If you specify the spots available, the number will be added to the spots you configure in the drop-in section (ex: 25 session spots + 5 drop-in spots = 30 total spots available).
  • Hit Save at the bottom when you are finished configuring your activity.

2. Registering to a Drop-in

Here's what your clients can expect when registering to a drop-in:

  • In this example, the activity allows for either session or drop-in registration.
  • Select the Drop-in button to register to specific classes taking place within the activity's schedule. Clients only choose Session if they wish to enroll in every class occurrence.

  • A calendar view of the drop-in classes appears. Available classes are in blue.
  • Choose the participant(s) to register by clicking on a date.
  • Continue shopping to select additional dates or proceed to checkout.
  • NOTE: If a drop-in is purchased with a MultiPass, it deducts one use from the pass.

3. Canceling a Drop-in

Only administrators can cancel a drop-in registration, with the exception of a drop-in that allows clients with a MultiPass to cancel.  Canceling a drop-in is similar to canceling any purchase via the Client Billing subtab in the client's account.

How clients cancel a drop-in reserved with a MultiPass

If the client registered to a drop-in using a MultiPass and the drop-in is configured to allow clients with a MultiPass to cancel, participants may cancel the class by returning to the Amilia store.

Via their user account:

  • Click on the Purchases tab and select the applicable organization.
  • Under the participant's name, scroll to the Drop-ins section and click on the name of the drop-in class to cancel.
  • This redirects to the activity's drop-in page in the store.

  • From here, scroll further down and locate the reserved date that needs to be canceled. The green_check_mark_EN.png icon identifies which dates have been reserved.
  • Click on the applicable date and click the Unregister button next to the participant's name.
  • A 'Successfully unregistered' message appears.  One use is added (i.e. returned) to the number of remaining uses on the MultiPass.
  • If desired, continue booking additional drop-in classes with or without a MultiPass.
